| Once you have satisfied state and federal requirements and have obtained your license for your new nursing agency, your next step is to start prospecting for potential clients and employee candidates. Prospecting is covered in our guide how to start a nursing agency
If you have satisfied all the above requirements and task, this means you are already in business. One of the most time consuming part of a nursing agency are the backend office work. This includes client setup, employee screening, client /employee matching, keeping track of time records for employees and organizing the billing system.
There are several software solutions to fit individual needs such as QuickBooks and Peachtree, but these type of application software are geared towards invoicing and managing your bank accounts. They are what you would call universal all purpose software. To remain competitive and be able to manage your manpower efficiently and effectively, it is recommended that you automate your backend solutions.
Our Nursing Agency Custom Solutions Software (NACSS) was design for this specific purpose. The software features 5 main modules.
· Client – In this module you would enter all of your client’s pertinent contact information. You will also specify client preferred payment method and financial information.
· Job Order – The job order module is where you will enter all job request sent to you via phone, fax or email. Data being collected in this module are Client ID, number of nurses needed, hours needed, days need, length of time need, reporting supervisor, special skills required if needed, client pay per hour and employee pay per hour. Once these data have been entered into this module, NACSS will look for the perfect employee to match client needs. Once an employee has been assigned to a job order, their status is marked unavailable so that they are not included in the auto matching process. Once a match is found, the matching employee file will open ready for calling to offer the vacancy. Once they accept, you mark the job order as filled. If they don’t accept the position, NACSS will look for the next candidate most suited for the job until the job order is filled.
· Daily Time Record – In the daily time record you will enter all your employees signed timesheet.
· Billing & Payroll – Once a Job Order is fulfilled and satisfied, NACSS will automatically send the completed job order into the billing module, where it sits until its maturity. Maturity is the time when the open invoices are billable, the billing period is set in the Client Module whether Net 15, 30 or 45 days. Once a job order is matured, it will auto-generate a billing invoice ready for your mailing. If your client has authorized you for auto-pay you can have NACSS auto-print a bank draft which you can in turn be deposited without having to wait for clients payment to arrive. In the payroll portion of this module, you can at anytime print the employee week to date or month to date or past hours worked. Payroll automatically calculates the amount being paid out to employee per job order. The DTR can then be sent to a 3rd party payroll processing company such as ADP.
